This policy explains how 100 Mile Arts Network (“we”, “us”, “our”) handles personal information on 100milearts.net. We are subject to Quebec’s Act respecting the protection of personal information in the private sector (Law 25) and are committed to being transparent about our data practices. This policy is available in French and English.

2. What We Collect and Why

Member accounts

When you register as a network member, we collect your name, email address, username, and password (stored as a one-way hash). We use this to provide member access and communications. Legal basis: consent.

Contact form

When you submit our contact form, we collect your name, email address, and message content. We use this solely to respond to your inquiry. Legal basis: consent.

Newsletter subscriptions

When you subscribe to our newsletter, we collect your name and email address. This data is stored with MailerLite (see Section 4). You can unsubscribe at any time via the link in any email. Legal basis: consent.

Server logs

Our hosting provider automatically records IP addresses, browser types, and pages visited. These logs are used for security and troubleshooting and are retained for 30 days.

Analytics

We use Independent Analytics, a privacy-first tool that uses no cookies and collects no personally identifiable information. All data is stored on our own server and never shared with third parties.

3. Cookies

We only set cookies when you log in to your member account (WordPress session cookies: wordpress_*, wp-settings-*). These expire within 14 days or at the end of your session.

We do not set advertising or tracking cookies. Some third-party services listed in Section 4 may set their own cookies when their content loads on our pages.

4. Third-Party Services

The following external services may process your personal information when you use this site. Each is governed by its own privacy policy.

Cloudflare Turnstile

Used on our contact form to verify you are human and prevent spam. Cloudflare collects your IP address and browser information. No cookies are set.

When you use the site’s translation feature, page content and your IP address are sent to Google’s translation servers.

MailerLite

Newsletter subscriber names and email addresses are stored on MailerLite’s servers. MailerLite operates under GDPR-compliant data processing agreements. You can unsubscribe at any time.

YouTube (Google)

Some pages embed YouTube videos. We use YouTube’s privacy-enhanced mode (youtube-nocookie.com), which means no cookies are set by YouTube unless you click play. YouTube may still collect your IP address when the player loads.

Hosting provider

Our site is hosted on a shared server with NixiHost. The hosting provider retains access logs per their own data retention policies.

Backup storage

Site backups, which include database records containing personal information, are stored in encrypted cloud storage (Google Drive) and deleted after 49 days.

6. Your Rights Under Quebec Law 25

You have the right to:

  • Access the personal information we hold about you
  • Correct any inaccurate information
  • Withdraw consent at any time (this does not affect prior processing)
  • Request deletion of your personal information
  • Data portability: receive your data in a common, structured format
  • File a complaint with the Commission d’accès à l’information du Québec (CAI): www.cai.gouv.qc.ca

7. Confidentiality Incidents (Data Breaches)

In the event of a breach involving your personal information that presents a risk of serious injury, we will notify you and the Commission d’accès à l’information (CAI) without unreasonable delay, as required by Law 25.

8. Changes to This Policy

We may update this policy from time to time. Material changes will be noted with a new effective date. Continued use of the site after changes constitutes acceptance.
